Start with the centre of gravity. If new leads, nurture, pipelines and client marketing drive revenue, start with GoHighLevel or HubSpot. If tasks, briefs, deadlines and delivery visibility cause the pain, start with monday.com or ClickUp.
Do the fee maths before you move data. GoHighLevel starts from $97/month and has a 14-day trial, but wallet-funded services can add usage costs for email, phone, AI, validation and premium workflow features. HubSpot starts free, then $15, but contact tiers, seats, onboarding and hub combinations can make the bill harder to predict.
Check whether the CRM is real or configured. GoHighLevel, HubSpot and Pipedrive are CRM-led tools. ClickUp can support lightweight CRM workflows, but it is still work management first, so sales teams that need a dedicated pipeline may outgrow it.
Do not treat free plans as a finished agency stack. HubSpot’s free tools have branding and limits, monday sales CRM is not available on monday’s Free Plan, and ClickUp Free Forever has 60 MB storage plus usage limits. Free is useful for testing fit, not always for running client work.
Separate client communication from client delivery. Email automation and CRM reporting belong in a marketing or sales system; tasks, docs, time and approvals belong in a delivery system. All-in-one tools reduce switching, but specialist tools can be cleaner once the team grows.
