Start with the job that hurts most. Choose Teamwork if retainers, billable time and client invoicing drive margin; choose Monday.com if visual boards and dashboards matter more. ClickUp is stronger if you want tasks, docs and time tracking in one low-cost workspace, while Asana suits cleaner repeatable workflows with less clutter.

Do the free-plan maths before moving a team in. Monday.com Free is tight for agency use, with up to 2 seats, 3 boards and 3 docs. ClickUp Free is generous on tasks and members, but 60MB storage and 1 form will bite on real client work. Asana Personal is limited to 2 users for new signups, while Teamwork Free is useful but capped at 5 projects, 5 users and 100MB storage.

Check client collaboration before you fall for dashboards. Monday.com Standard adds guest access, Timeline and Gantt, Calendar, automations and integrations, which makes it a more practical agency floor than Free. Asana Starter adds unlimited free guests, forms, custom fields and automations, but workload and native time tracking sit higher. Teamwork is the more client-work-specific option, but the strongest invoicing, retainer and capacity features are not on the free tier.

Price the team you actually have. Monday.com starts from $9, but paid plans start at a 3-seat minimum and move in seat buckets, so a 6-person team may need a 10-seat plan. ClickUp starts lower at Free, then $7, but AI can become an add-on cost. Asana starts at Free, then $10.99, and the Advanced plan is where portfolio, workload, approvals and proofing become serious.

Treat time and budgets as delivery data, not admin. Teamwork is the specialist if client profitability depends on logged time, billable tracking, invoicing from time, retainers and capacity. ClickUp gives agencies a cheaper all-in-one PM workspace with time tracking, but it can become fiddly if every team builds its own structure. Monday.com is excellent for visual operations, but it usually needs more setup to track profitability cleanly.

Be cautious with AI pricing. Monday.com now lists AI credits by plan, so usage is part of the buying decision. ClickUp lists Brain AI, Everything AI and AI Super Credits separately, which means AI should be treated as a potential add-on. Teamwork says usage-based AI credits launch in September 2026, so the current AI value may change.
